Dealer terms
For dealers, wreckers and salvage traders who advertise on Caravan Domain.
These terms apply to caravan and RV dealers, wreckers and salvage traders who advertise on Caravan Domain. They add to our general terms of use, which also apply to you. Where the two differ, these dealer terms apply to your dealer account. Bike Domain Pty Ltd (ACN 162 726 972) is "we" or "us"; the business that holds the dealer account is "you".
Who can join
A dealer account is for a business that holds the dealer licence its state requires for what it sells, or that trades in wrecked or salvage vehicles. To join you give us your business name and legal name, your ABN, your state, your licence number (unless you join without one as set out below), your address, a public phone number and the details you want on your dealer page.
A dealer that sells only towed vans can join without a licence number in these states and territories:
- In Victoria, the motor car traders law covers vehicles with a motor of their own, so a dealer who sells only caravans, camper trailers or slide-on campers needs no motor car trader licence.
- In South Australia, the second-hand vehicle dealers law covers vehicles designed to be propelled by an engine, so a dealer who sells only caravans, camper trailers or slide-on campers needs no second-hand vehicle dealer licence.
- In Tasmania, the motor vehicle traders law covers vehicles with a motor of their own, so a dealer who sells only caravans, camper trailers or slide-on campers needs no motor vehicle trader licence.
- In the ACT, the law does not clearly say whether a dealer who sells only caravans, camper trailers or slide-on campers needs a dealer licence, so such a dealer can join without a licence number.
- In the Northern Territory, the law does not clearly say whether a dealer who sells only caravans, camper trailers or slide-on campers needs a dealer licence, so such a dealer can join without a licence number.
A business in one of those states or territories that sells only caravans, camper trailers and other towed vans, slide-on campers, and parts and accessories can join without a licence number by declaring, when it applies, that this is all it sells. You are responsible for that declaration being true. Without a licence number on your account you cannot list a motorhome, campervan or bus: give us your licence number first. If your business moves to another state, it needs a licence number before any new ad goes live.
We check that your ABN is active and that the name you gave matches it, and we check your licence against the state register before your account is verified. If you joined without a licence number, we check your business against your declaration instead. One ABN has one dealer account; further staff join through your account. If a licence has an expiry date and it passes, we warn you and then suspend the account 14 days later until you give us the renewed licence.
If the Australian Business Register cannot be reached when you join, you can still join, and we check your ABN before your account is verified. If the name you gave does not match the register, a person checks your application first. If we invite you to join, we send the invite only after you have told us you want it, and only you can use it.
The owner of your dealer account can add people to it as managers or staff. Staff can edit your ads and answer leads; managers can also load stock and set up feeds; only the owner can choose, change or cancel a plan and manage the people on the account.
Your dealer page, and any stock loaded for you by spreadsheet, by feed, through our API or by us, stays unpublished until you approve your page. You approve it once; after that each ad goes through our normal checks before it goes live, and the payment rules below still apply.
Plans and quotas
| Plan | Price | Listings | What it includes |
|---|---|---|---|
| Starter listing | $9 per listing, no monthly fee | Pay for each ad you publish | One dealer listing for 30 days. No monthly fee. |
| Standard | $99 a month | Up to 30 live ads | Up to 30 ads live at once, CSV import and the lead inbox. |
| Pro | $149 a month | Unlimited | Unlimited listings, feeds, the API, ADF lead export and webhooks. |
| Group | $299 a month | Unlimited | Everything in Pro for up to 5 rooftops on one bill. |
Plan prices are the total you pay and are shown in full before you pay; there are no extra fees on top of the plan price. The listing quota is the number of ads you can have live at one time. If you need more, you can change plan at any time.
Founding dealers invited by us before launch receive their first three months on a plan free. We apply the offer to your account ourselves; it is not a code, and it ends after three monthly invoices, after which the plan bills normally.
Before launch you can load your stock, build your dealer page and preview it without a plan. We do not sell plans or per-listing ads to any dealer until launch, so the three free months cannot start before buyers can see your stock: they start with your first plan invoice, at launch or later when you choose.
A Group plan covers the dealerships of your dealer group on one bill, up to the number shown in the table. It is started by the group's owner and billed to the group.
Your ads
Licence details in your ads
State laws require dealer ads to show certain licence details. If you gave us your licence number, those details are added to every one of your ads automatically from your account, in the form each state requires, and you cannot remove them. If you joined without a licence number, your ads show none, except that in the Northern Territory they show your place of business. The table below shows what we display for each state.
| State | Shown on every ad of a dealer with a licence number | Rule |
|---|---|---|
| New South Wales | [licensee name], [phone], Stock no. [stock number] | Confirmed against the state rule |
| Victoria | LMCT [licence number] | Confirmed against the state rule |
| Queensland | Licensed motor dealer [licence number] | Confirmed against the state rule |
| Western Australia | [dealer name], Dealer licence [licence number] | Confirmed against the state rule |
| South Australia | LVD [licence number] | Not yet confirmed |
| Tasmania | Dealer licence [licence number] | Confirmed against the state rule |
| Australian Capital Territory | Dealer licence [licence number] | Confirmed against the state rule |
| Northern Territory | Licensed dealer, licence [licence number], place of business [street address, suburb and state] | Confirmed against the state rule |
Where a state's rule is marked as not yet confirmed, we show your licence number anyway, and you remain responsible for meeting your state's advertising rules. Tell us straight away if your licence details change.
Some states also ask for details of the vehicle in each ad. We do not publish your ad until it has them, and we show them on the ad:
- New South Wales: the stock number on every ad, the licensee's name and phone number, and on a priced second-hand vehicle its registration number if it is registered, or its stock number if it is not
- Victoria: the stock number on every ad, and on a used motorhome, campervan or bus whether it is registered, its registration number if it is, and if it is not, its VIN, or its chassis number where the vehicle has no VIN
- South Australia: on a used motorhome, campervan or bus, whether it is registered, its registration number if it is, and if it is not, its engine number
- The ACT, if you gave us your licence number: on a used vehicle, its registration number if it is registered, and on an unregistered used motorhome, campervan or bus, that it is unregistered and its engine number
In the Northern Territory every ad also shows your place of business: the street address, suburb and state on your dealer profile, or the suburb and state if your profile has no street address. Your place of business is the premises your licence names, so give that street address.
What your ads must do
You are responsible for your ads. Each ad must:
- be for a vehicle or item you have in stock and can sell, at the price shown
- show a single drive-away price where a price is given
- describe the vehicle or item accurately, including any damage, written-off status and known faults
- carry the stock number and any other identifier your state requires
- be withdrawn or marked sold promptly once the vehicle or item is sold
For damaged, written-off and parts-only stock, each ad must carry the written-off status and the VIN or chassis number; the VIN is kept off public pages and revealed to buyers one ad at a time. The exceptions are the Victorian, South Australian and ACT rules above: on a Victorian licensed dealer's ad for an unregistered used motorhome, campervan or bus, the VIN, or the chassis number where there is no VIN, is printed on the ad, and on a South Australian or ACT licensed dealer's, the engine number.
On a damaged, written-off or parts-only ad we show the written-off status you give, the state the vehicle was written off in, and that state's rules on registering a written-off vehicle, with a link to the state's own page. A statutory write-off also carries the notice "Statutory write-off: for parts, or not for use on public roads. It cannot be registered." You cannot remove these. Give the status as it is recorded on the written-off vehicle register; if you have not checked the register, choose "not confirmed" rather than guess.
Your ads go through the same checks as every other ad. Stock loaded by a verified dealer usually passes quickly, but we may hold, edit or remove an ad that breaks these terms or our terms of use.
Spreadsheet imports and feeds
You can load stock by hand, by spreadsheet or, on plans that include it, by an automatic feed. Imports show you a dry run before anything changes. With a feed, a vehicle or item that is missing from two successful runs in a row is withdrawn; a failed or empty run never withdraws anything, and we tell you when a feed keeps failing.
A spreadsheet can hold up to 2,000 rows and 10 MB. Rows with errors are skipped and listed for you to download, with any VIN masked. An import or a feed does not replace the photos of an ad that is already live.
Automatic feeds come with the Pro and Group plans. We check your feed about every two hours and fetch the photos it names only from secure (https) web addresses; we fetch an ad's photos again only when its list of photos changes. If a feed fails three times in a row, we pause it and tell you, and it stays paused until you turn it back on. We email you about a run only when something changed or failed.
API access
On the Pro and Group plans you can create API keys to manage your ads from your own systems. We show a key once, when you create it. Keep your keys secret and revoke a key straight away if it may have been exposed; you are responsible for everything done with your keys. Each key can make up to 600 requests an hour, and we log every call. Ads sent through the API go through the same checks as every other ad.
Leads
Enquiries about your ads go to your lead inbox and by email to the address on your account. You must use a buyer's details only to respond to their enquiry and for the sale that follows, and follow the Spam Act and the Privacy Act in any further contact. A buyer's email address is included in leads sent to your own systems only when the buyer agrees to it.
In your lead inbox you can record each lead's progress and keep notes for your team; notes are never sent to the buyer. If you give us an address for leads in the standard ADF format, or, on the Pro plan, a web address for your own systems, we also send each new lead there. The same rule applies to those, to lead exports and to the API: a buyer's email address is included only when the buyer ticks the box on the enquiry form that allows it, and the box starts unticked. Keep the systems that receive leads secure.
Billing and renewals
Monthly plans
Monthly plans are billed in advance by card or by direct debit from an Australian bank account, through Stripe. A plan renews automatically each month until you cancel. We email you a reminder with the amount seven days before every renewal. You can cancel at any time from your billing page in one step; the plan stays active until the end of the period you have paid for and then stops.
A direct debit takes a few business days to clear. Your plan starts straight away and your ads can go live while it clears; if the first direct debit fails, we pause the plan and your ads until the plan is paid.
If you move to a plan with a smaller quota than the number of ads you have live, you choose which ads to withdraw within seven days; after that we pause the oldest ones, and they come back by themselves when your plan has room for them again.
Per-listing ads
The Starter option has no monthly fee. You pay for each ad when you publish it and it stays live for the period shown when you buy it. You can renew expiring ads in one payment.
Starter covers up to 10 live ads at a time; from the eleventh ad we offer you the Standard plan instead. A renewal adds its period to the end of the days the ad already has. If an ad you paid to renew has ended before your payment reaches us, we refund what you paid for that ad.
Failed payments
If a payment fails, your ads stay live for seven days while we email you. If the payment is still outstanding after that, your ads are paused, not deleted, and your dealer page shows that stock is unavailable. Paying the amount owing restores everything in one step. If a Group plan payment is still outstanding after the seven days, the ads of every dealership it covers are paused in the same way.
Your dealer page
Your dealer page shows your business name and logo, your licence details, your suburb and state, your public phone number and address, the brands you carry, your description and opening hours, the stock you have live, the dates we checked your licence and your ABN, and when you joined. If you joined without a licence number, your page shows no licence details and no licence check. We show your website's name as plain text; we do not link to it. If your dealer group is on a Group plan, the group has a page listing its dealerships. If we suspend your account, your page says your stock is unavailable for 30 days and is then removed.
Refunds
Plan fees for a period that has started are not refundable, except where the Australian Consumer Law gives you a right to a refund, which these terms do not exclude. If we reject a paid per-listing ad, or remove it within 14 days for a reason that is not your breach of these terms, we refund what you paid for it. To ask about a refund, use the contact form.
Suspension and closing an account
We may suspend or close a dealer account if your licence lapses or is cancelled, if you breach these terms and do not fix the breach after we ask, or if we reasonably believe the account is being used to mislead buyers. You may close your account at any time by cancelling your plan and asking us through the contact form.
Changes
We will give you at least 30 days' notice by email of any increase in a plan price or any change to these terms that materially affects you. If you do not accept the change, you can cancel before it takes effect.
Questions
Questions about these terms, your plan or your ads go through the contact form. If you are not yet advertising with us, the dealer sign-up page explains how to start.
